Employee Eligibility Verification (E-Verify)

An online system for verifying an employee's eligibility to work, E-Verify is operated jointly by the Department of Homeland Security (DHS) and the Social Security Administration (SSA).

What Is E Verification? A Primer

Electronic Verification, or E-Verify, is an online system through which employers can check whether employees are eligible to work in America. Essentially, employees fill out a simple, confidential form called an I-9. The E Verify system checks this form against an individual's personal records retained by the US government. 

Though the verification of employment eligibility can be performed through manual document verification to validate Social Security Numbers, visas, or citizenship statuses, E Verify is the digital substitute for this verification process. It is also required for those organizations that wish to contract with the federal government. Some states require E Verify, and for staffing organizations, some clients might require it too. Once an organization performs E Verify at least once, then the organization is required to continue to use E Verify for all future employment.

While E Verify is accessible online through a login to the US government E Verify system, it is helpful for E Verify to be available through your Applicant Tracking System. If such is the case, it should be accessible to your onboarding team. And it should be integrated smoothly with the rest of the System's onboarding platform. 

What Is an E Verification Check?

Let's go into a little more detail! When it's time to get a candidate onboarded, you might want to perform an E Verification check. He or she will fill out an I-9 form, and you'll submit this to the federal government's E Verify system. 

Through E Verify, you'll submit an I-9 form on behalf of the candidate. This form will be filled with his or her information. Then the government's system will check this information against records kept by the Department of Homeland Security (DHS) and the Social Security Administration (SSA). The government's system will make sure that a candidate is eligible for, and ready for, employment. The government will match the I-9's information with the records they keep.

Results will usually be returned to you within 24 hours—though for the process to take a little longer is not unusual. If the government's records match the candidate's form, his or her employment will be verified! It's important that you don't spend too long submitting I-9 forms. You need the government to evaluate them as quickly as possible.
